Our cloud phone provider is hard to work with. How do we switch?

Write down what's going wrong and what you can't lose, and read your contract's exit terms. Then the providers that fit bid on one plan, every number ported.

Clectiv AI sources voice for buyers. Real bids in days, not months.Start a project

Put numbers on what's going wrong, and a new provider has something to beat. Add what you can't lose and what your contract allows, and you've got a switch you can plan.

What should we measure before we leave?#

Measure what's going wrong, in numbers a proposal can answer. "Hard to work with" is a feeling. A count of dropped calls, outages and open tickets is something a provider has to bid against.

What to measure, and why it matters.
WhatWhy
Call qualityDropped calls, echo and choppy audio, by site and by hour.
OutagesHow many, how long, and how long the fix took.
SupportTickets opened, how long each stayed open, and how many came back.
BillingCharges nobody expected, and invoices nobody could explain.
Missing featuresWhat your people need and the system doesn't do.
What you can't loseYour numbers, the front desk's call flows, the CRM link and the call recordings.

Say what each problem costs you. Count the hours lost to outages and the staff time spent on tickets and workarounds. That's the number a switch has to beat, and it's yours, not a provider's.

Sort what a new provider can fix from what travels with you. Choppy audio caused by your internet or Wi-Fi follows you to any provider. Know which is which before anyone bids.

Before you call anyone#

Take that list to Clectiv AI before your provider hears you're thinking of leaving. From there Clectiv AI runs the process, bidding it out to the providers that fit so they compete, and you choose the one you like. Tell your current provider first and you get a retention offer, with nothing to compare it to.

What does our contract let us do?#

Find the end date and the notice window before anything else. Some contracts renew on their own unless you give notice by a set date. Check yours. Miss that date and you're signed for another term, and that's a trap.

Read every page, not just the order form. Exit terms can sit in the order form, the master agreement or an addendum. List them all with Clectiv AI, and the plan shows what leaving costs and when.

Four terms decide what leaving costs. The end date sets the notice window, and leaving early can carry a fee. A seat minimum bills you even if headcount drops, and your numbers and desk phones can stay tied to the provider until it lets them go.

One hint: the end date is your leverage. Time the switch to it, or weigh each proposal against what leaving early would cost.

How do we move without the phones going down?#

Bid one plan that covers every user and every number, then move in stages. A pilot team or site goes first. The rest follow, with the old system running beside the new one.

RingCentral, Zoom, 8x8, Dialpad, Vonage, Nextiva, GoTo and Ooma all sell cloud phone systems. They're among the voice providers we work with, and Clectiv AI runs the process with them on your behalf: start a project.

The work's been done before. Clectiv AI runs the process we've used before, so you start where other buyers left off. The best pricing, terms and contract we can get come from taking the plan straight to these providers.

Numbers are the one piece your callers feel. Phones, apps and queues get built and tested out of sight. A number moves on a set day, so each one needs a date, an owner and a fallback.

Plan for your people, not just the numbers. New apps and new desk phones mean a short training session, a one-page cheat sheet and someone to call on day one.

Count the numbers with Clectiv AI, forgotten ones included. Fax lines, alarm lines and toll-free numbers need a date too. Keep the old service running until the last one has moved.

Every proposal has to answer four things:

  • Numbers. Which ones move, and on what dates.
  • Call flows. Who rebuilds the front desk and the queues, and who tests them.
  • Your fixes. What the new system does about each problem you measured.
  • The overlap. What you pay while both systems run.

The plan asks the rest, from desk phones to training.

Common questions#

How do we switch cloud phone providers?#
Measure what's wrong, read the contract's exit terms, then bid one plan with every number ported. Clectiv AI writes that plan, and the providers that fit bid on it.
Can we switch before our contract ends?#
Sometimes, depending on the exit terms. Clectiv AI puts the end date, the notice window and the early-exit cost in your plan, so each proposal is read against them.
Will our phones go down when we switch?#
A planned move keeps that risk small. The new system runs beside the old one while numbers move in stages. Clectiv AI sets those stages in your plan.
Is the problem our provider or our network?#
It can be either, or both. Choppy audio from your internet or Wi-Fi follows you to any provider. Clectiv AI puts your measurements in the plan, and each proposal answers the ones a provider can fix.
How do we know a new provider will do better?#
A demo can't tell you. Each provider has to answer what you measured, in writing. Clectiv AI turns your list into the plan, and the proposals come back side by side.

How does Clectiv AI get this done?#

Clectiv AI is step one. Tell it what's going wrong and when your contract ends. It scopes the switch with you and writes your plan: what each site has, who needs what, which numbers have to move, and what you can't lose.

Then the Clectiv team takes your plan to the cloud phone providers that fit, all at once, through our partner network of 620+ providers. They compete for your business with real bids, the team pushes on terms, and you choose.

Companies like yours did this before you. Clectiv AI runs the process other companies used, so you start where they finished. With the plan straight in front of the providers that fit, you get the best pricing, terms and contract we can.

All of this is free to you, and it's days, not months. The voice page has everything we cover in voice.
