What does a cloud phone system cost per user, and what drives it?

It's priced per user, per month, and the number moves with the license tier, calling and countries, contact center seats, devices and term. The bid sets yours.

A per-user price is one line of the bill, not the bill. Learn what sits inside it and what sits outside, and you can read any quote and make each provider price the same thing.

How is a cloud phone system priced?#

Per user, per month. A user is a person with a license for the phone system. That license is the base, and other units get added around it.

Know what's bundled. Some quotes fold in the calling, the numbers or the phones, and others bill each one separately. That's why two per-user prices can describe different things.

The term moves the price, too. Monthly, annual and multi-year terms price the same user differently. The user count you commit to can also be a floor.

RingCentral, Zoom, 8x8, Dialpad, Vonage, Nextiva, GoTo and Ooma all sell cloud phone systems. These are some of our voice providers that do it, and Clectiv AI runs the process for you: start a project.

Before you call anyone#

Your headcount, countries and call volume go into Clectiv AI before you ask anyone for a per-user number. Then Clectiv AI runs the process: a bid to each of the providers that fit, a real competition, and you choose at the end. Ask one first and you get a price on whichever tier it picks, with nothing beside it.

What moves the price up or down?#

The license tier sets the base, and everything else moves it from there. Count these drivers with Clectiv AI, and each provider prices the same list.

  • License tier. Each step up adds features, such as video meetings, call recording, analytics and AI notes, and adds to the price.
  • Calling and countries. Which countries are included, and what happens to calls beyond them.
  • Contact center seats. Agents who work a queue are licensed differently from desk users, so count them separately.
  • Shared phones. Lobby, break-room and warehouse phones can be licensed differently from a person's seat. Count them on their own.
  • AI. Notes, summaries and an AI receptionist, inside the tier or as an add-on.
  • Devices. Desk phones, headsets and room phones, bought or rented, or the app alone.
  • Term and user count. How long you sign, how many users you commit to, and whether that count can go down.

A person at home is a user like any other. They're on the app or a desk phone, like anyone else. What changes is the device, and the address a 911 call carries.

One hint: ask for the tiers priced side by side. Then you can see what each step up buys.

We know this road. Clectiv AI runs the process that worked for other buyers, so you start where they finished. The plan goes straight to these providers, for the best pricing, terms and contract we can get on each.

What one-time costs sit outside the per-user price?#

Setup, porting, phones and the move itself. These show up once, and they're easy to miss when you compare monthly prices.

  • Setup and onboarding. A fee to configure the system and build the call flows.
  • Number porting. Moving your numbers over, sometimes with a fee per number.
  • Phones and headsets. Their cost, if you buy them instead of renting.
  • Network work. Switches, Wi-Fi and the quality settings voice needs.
  • Training. Getting your people comfortable on the new system.
  • The old system. Early-exit fees, and the months both run in parallel.

Your first year costs the monthly bill plus all of these. List them with Clectiv AI so every proposal shows them the same way, and your real number comes from the bid.

Common questions#

How much does a cloud phone system cost per user?#
It's priced per user, per month, and moves with the tier, countries, contact center seats, devices and term. Clectiv AI writes those into your plan, and the providers that fit price the same list.
What's the difference between a license tier and a user?#
A user is a person. The tier is what their license includes, such as video, recording or AI notes. Clectiv AI asks who needs what, so every user lands in the right tier.
Do remote workers cost more on a cloud phone system?#
They're counted as users like everyone else. The device and the emergency address differ. Clectiv AI counts every person where they sit, and the proposals price them all.
What costs come on top of the per-user price?#
Setup, number porting, phones, network work, training and the old system's exit. Clectiv AI puts each one in your plan, so no proposal leaves them out.
Does a longer term lower the price per user?#
It can change the price, and it can also lock in a user count you may not keep. Clectiv AI writes your term into the plan, and the providers that fit can show more than one.

How does Clectiv AI get this done?#

Start with Clectiv AI. Tell it how many people need a phone and where they sit. It scopes the system with you and writes your plan: who needs what, which numbers stay, what the devices are, and how long you want to sign.

Then the Clectiv team takes your plan to the cloud phone providers that fit, all at once, through our partner network of 620+ providers. They bid for your business and compete with each other, the team pushes on terms, and you choose the one you like.

Companies like yours already climbed this. Clectiv AI runs the process we ran with them, so you start where they ended up. That's how you get the best pricing, terms and contract we can get from the providers that fit.

It's free to you, and it's days, not months. Everything we cover in voice is on the voice page.
