We're not getting full value from our contact center platform. How do we fix it?

Audit what you pay for against what you use, switch on what you already own, then bid the renewal so your platform has to earn its next term. Here's how.

The Clectiv team ·

Clectiv AI sources contact center for buyers. Real bids in days, not months.Start a project

Start with what you already own. A contact center platform is sold by the seat, the channel and the add-on, and it's easy to pay for more than your floor uses. Find the gaps, close them, then make the next term earn its place.

Where does contact center value leak?#

Value leaks in the gap between what your contract says and what your floor uses. A contact center platform (CCaaS, contact center as a service) is the software your agents use to handle calls, chats and email. It's sold by the seat, which is one agent's license, plus the channel and the add-on. Each of those can go unused.

  • Seats nobody uses. Licenses for people who've left, changed teams or never log in.
  • Add-ons nobody switched on. Quality scoring, scheduling or AI that sits in the contract and was never set up.
  • Features bought twice. A second tool for a job your platform already does.
  • Terms from another year. Channels, seat minimums and a term sized for a floor you no longer have.

These leaks are yours to close. A contract outlives the project it was bought for, and nobody's job is to go back and check.

Before you call anyone#

Bring your latest invoice and your usage report to Clectiv AI before any platform quotes your renewal. Then Clectiv AI runs the process, the providers that fit compete with bids of their own, and you choose. Call a platform first and you get its renewal price, written before anyone else has priced what you actually use.

What can we fix without switching platforms?#

Put your invoice next to your usage, line by line, with Clectiv AI. Your platform's admin reports can show which seats log in and which features run. Every line is used, unused or doubled up, and each has its own fix.

  • Unused seats. Cut them, or move them to the team that needs them. Whether you can cut mid-term depends on your contract.
  • Unused add-ons. Turn on what you've already paid for, or drop what you won't use at the next renewal.
  • Doubled-up tools. Keep the one that does the job and let the other end on its date.

Fix the leaks before you bid, so the bid prices the floor you really have. Bid first and you'd be pricing seats you were about to cut.

Some gaps can't be fixed in place. A channel your platform doesn't offer, or a system it can't connect to, is a gap in the fit. No license change closes it, so note it for the renewal.

When is it time to bid the renewal?#

Start before your notice date, not your end date. Some contracts renew on their own unless you give notice by a set date, and that date comes first. Check yours, then work backward.

It's time to bid when the notice date is coming, when your floor has changed in size, channels or locations, or when you need something your platform can't do.

A real bid makes the next term earn its place. It doesn't mean you're leaving, and staying is a fine result when the numbers say so.

Five9, NICE, Genesys and Talkdesk all sell cloud contact center platforms with AI built in. That lets the platform and its AI be priced together. All of them are contact center providers we work with, and Clectiv AI runs the process for you: start a project.

That's a road we've traveled. Clectiv AI runs the process we've run for other customers, so you start where they finished. It takes the plan straight to these providers for the best pricing, terms and contract we can get.

Every renewal proposal should answer four things:

  • What a seat costs at your real count, not your old one.
  • Which add-ons are in the price, named.
  • The term, and what happens if your floor shrinks.
  • Who does the setup, and when.

The plan asks the rest, from integrations to training. One hint: ask whether seat counts can come down mid-term, and by how much.

Common questions#

How do we find out what we're not using?#
Compare your invoice with your platform's usage reports: seats that log in, features that run, add-ons that fire. Clectiv AI lines them up in your plan, so the fixes and the bid cover the same floor.
Can we switch on features we already pay for?#
Often, yes, because the license is already in your contract. Clectiv AI lists what you own against what runs, and the plan says which to switch on and which to drop at renewal.
Does bidding the renewal mean switching platforms?#
No. A bid makes the next term earn its place, and staying is a fine result. Clectiv AI writes your floor into a plan, and the providers that fit price it side by side.
How early should we bid a contact center renewal?#
Before your notice date, which comes before the end date. Clectiv AI's plan starts from your dates, so the proposals arrive with time to compare.
Do add-ons like quality scoring or AI have to come from our platform?#
No. They can come from the platform or from a provider that works with it. Clectiv AI writes what you want covered, and the providers that fit bid on it.

How does Clectiv AI get this done?#

Begin in Clectiv AI. Tell it which platform you run, how many seats you pay for and when your term ends. It scopes your contact center with you and writes your plan: seats, channels, add-ons, what has to plug in, and what you want to keep.

Then the Clectiv team takes your plan to the contact center platform providers that fit, all at once, through our partner network of 620+ providers. The bids come back side by side as the providers compete, the team pushes on terms, and you choose.

Others finished what you're starting. Clectiv AI runs the process we built with them, so you start where they ended up. The plan reaches the providers that fit directly, for the best pricing, terms and contract we can get.

It's free to you, and you have answers in days, not months. The contact center page has everything we cover in contact center.
